Report or Rapport? Male Female Differences, Creating Rapport 7 of 7

Recently, after hearing my conversation with a male, a wise woman asked me, “Why are you speaking to him in female?” I was reminded of the need to change my communication style in a way to be better understood by a male. Two languages underlie all other on the planet: male speech and female speech. Bell curve study conclusions (e.g., apply strongly to 2/3 of the population in general) have shown several communication tendencies:

Females tend to use more words (e.g., adverbs, adjectives, and qualifiers) and are more comfortable discussing feelings; males use communication to direct, disseminate information, or solve problems
Female brains typically communicate collaboratively, to build relationships; male brains are more hierarchical and include more comparison and competition to establish the pecking order
Males tend to stay on topic during a conversation; females may jump between a range of topics in same conversation

Although men and women have more similarities than differences, there are none the less some significant differences. Some of these differences are physical. One of these is the size of the corpus callosum. Typically in the male brain the corpus callosum, the connecting bridge between the two hemispheres of the brain, is smaller than that of the female brain. This creates lateralized thinking versus generalized. Although multitasking is never as effective as single tasking in terms of brain function, having a larger corpus callosum may make it easier for a female brain to look as if she is multi-tasking, although she is really rapidly shifting her attention from one task to another. The classic example of a woman with a baby on her hip, stirring dinner while talking on the phone demonstrates this type of generalized thinking. Lateralized thinking on the other allows men to be more single minded, goal oriented, and better at tuning out distractions.

I learned one of the most fascinating facts about the male brain while enjoying a cup of soup with Dr. Arlene Taylor. Because of the larger corpus callosum, if any part of the female brain is on, it’s all on. The more lateralized male brain gives it the option to concentrate their attention functions in one cerebral division while metaphorically letting the other three divisions idle for the moment. This means that it actually takes less energy to run the typical male brain.

PET Scan studies have shown that it takes more energy for the male brain to listen to and decode speech sounds from a female. This means that a female is wise to give the male brain the bottom line and then wait a moment to see whether or not there are any questions.

How to we put all this together to bridge the gender gap when communicating and create rapport? Here are some important tips:

When speaking with males, females are advised to use shorter and more direct sentences and speak in a slightly lower tone (avoid speaking in high pitched or whiney tones)
When communicating with females, males need to understand that her feelings about the topic may need to be heard as well as the facts and/or the sharing of similar experiences
Presentations to males need to be streamlined, action and bottom-line oriented. Presentations to females should include more personal stories, emotional content, and group involvement. Since all brains like stories, short, succinct, illustrative stories work for almost all brains.

Like learning to mirror and match physicality, energy levels, and brain leads, learning to become gender bilingual (e.g., you can speak male and female) can go a long way in increasing understanding and creating rapport.

Edification, Creating Rapport 6 of 7

One of the most powerful skills in rapport building is the skill of edification. The English words edification, edify, and edifying all translate from a Greek word which means “to build up.” This Greek word joins two words together. They are the Greek word for “build” combined with the Greek word for “house.” The combination, then, means to “build a house.” In the New Testament, the word is applied to building the spiritual growth of Christians.

In business, edification is one of the most powerful rapport building skills of all! Let me model it by doing a mock introduction of two of my guests attending a meeting.

“Sally, it’s so great to have you here! I would like to meet Joe. Like you, Joe is a highly energetic realtor who loves people and provides amazing service to her clients. He is one of the most creative, solution oriented realtors I’ve ever met….”

“Joe, I’m so glad you made it tonight! I’m honored to be able to introduce you to another of my favorite people. Like you, Sally shares the passion of continuous and never ending improvement. You both are two of the most innovative, cutting edge, service oriented realtors I know. You will have a lot in common and could be amazing power partners….”

Conversations like this encourage new business relationships and leave both the individuals you are connecting feeling gratitude and rapport towards you for seeing the good and connecting them.

The key is to be genuine, never flattering or superficial. Focus on the character traits and skill sets you see in each individual. All people have hidden gold within them. Be the miner that digs it up and brings it to the surface. Everyone wins.

Imagine you arrive at your business appointment ready to complete a transaction when suddenly your appointment comes bouncing in dressed in a cheerleader outfit. Mismatch would be an understatement describing the difference in energy and expectations at that moment. Although this is an extreme, the truth is we are often not conscious of the disparity between our prospects, customers and team member’s signals, and our own. Considering three important “E’s” can go a long way in creating a solid sense of rapport. They are: ego, enthusiasm, and edification

Often as we engage in conversation we do not fully listen and give attention to the other. Instead we are busy formulating what we are going to say next. The ego gets involved and our tendency is to tell an even bigger and better version of the story we are hearing. Practice the art of listening and forego your need to share your story. People are amazed when I tell them it is not uncommon for me to spend 45 minutes of a one hour appointment asking questions and listening. The result is amazing rapport and a 90%+ closing ratio of getting the sale! Ego is the greatest enemy of building rapport or relationships. Decide today to increase your skills in listening and being curious about the other. Because so few practice this, it will distinguish you.

As you ask questions and listen attentively pay attention not only to the details of the content but also of their person. For Example, what is their energy level like? There is nothing more annoying to a person who is exhausted, feeling down and lacking energy that someone rolling over them with unbridled enthusiasm! On the other hand if a person is speaking rapidly and bouncing with energy it will feel like an energy drain if the other person drones on slowly with minimal energy. Work towards matching their rate, volume and tonality of their speech. The saying, “People like people like themselves” holds true when it comes to matching energy levels and vocal qualities.
